At FolioReady, we take your privacy seriously. This privacy policy explains how we collect, use, and protect your personal information.
Information We Collect
We collect personal information that you provide to us such as your name, email address, and phone number when you submit a contact form or sign up for our newsletter. We also collect information about your visit to our website, including your IP address, browser type, and the pages you visit.
We collect only the personal information reasonably necessary to provide our services. Where it is lawful and practicable, you have the option of dealing with us anonymously or under a pseudonym — for example, when making a general enquiry. Some services cannot be provided without certain information; where that is the case, we will tell you, and not providing the information may mean we cannot provide the relevant service.
Use of Information
We use the information we collect to provide you with our services, respond to your inquiries, and send you marketing communications. We may also use your information to improve our website and to comply with legal obligations.
Protection of Information
We take appropriate measures to protect your personal information from unauthorised access, disclosure, alteration, or destruction. We use industry-standard security measures such as SSL encryption to protect your data during transmission.
Retention and Destruction
We retain personal information only for as long as it is needed to provide our services, comply with our legal obligations, resolve disputes, and enforce our agreements. When personal information is no longer required for any of these purposes, we take reasonable steps to destroy it or de-identify it.
Data Breaches
If we become aware of a data breach that is likely to result in serious harm to any individual whose personal information we hold, we will notify the affected individuals and the Office of the Australian Information Commissioner (OAIC) as soon as practicable, in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988.
AI Processing
FolioReady uses third-party AI providers to power features that extract, summarise, and generate content from data you submit. This section describes which providers may receive your data, what data is sent, and the commitments that apply.

Self-hosted FolioReady installations may additionally use locally-hosted models (Ollama, LM Studio) which do not transmit data to a third party.
Data Sent to Providers
When an AI-assisted feature runs, the following categories of your data may be sent to the provider that handles the request:
- Content of forms and submissions selected for AI processing.
- Bodies and attachments of emails ingested for extraction.
- Text extracted from uploaded files for AI processing.
- Prompts and instructions generated by AI features (extraction, synopsis, design).
The following are never sent to AI providers:
- Authentication credentials such as passwords, OAuth tokens, or API keys (other than a key you supplied for that call).
- Billing and payment data.
- Data belonging to other FolioReady customers.
No Training on Customer Data
FolioReady configures supported providers to disable training on customer inputs and outputs and relies on each provider's published commitments to the same (linked in the table above). If a provider's commitment materially changes, we will update this policy and the provider list.
Bring Your Own AI Keys
If you supply your own AI provider key, prompts and responses route through your provider account using your key. FolioReady stores the key encrypted at rest and uses it only to fulfil your AI feature requests. For these calls, FolioReady is not the data controller of the processing performed by the provider; your own agreement with that provider governs.
Disclosure of Information
We do not share your personal information with third parties except as required by law or as necessary to provide our services. We may share your information with our trusted partners who assist us in operating our website or providing our services.
Overseas Disclosure
Some of the service providers we use to operate FolioReady are located outside Australia, which means your personal information may be disclosed to, stored in, or accessed from overseas. This includes the AI providers listed in the "AI Processing" section above, as well as our hosting and infrastructure providers.
The countries in which these recipients are likely to be located are primarily the United States of America. Where we engage providers in other countries, we will update this policy accordingly.
Before disclosing personal information overseas, we take reasonable steps to ensure that the recipient handles it in a manner consistent with the Australian Privacy Principles, including through contractual commitments with our providers and reliance on each provider's published privacy and data-protection commitments. Where you have supplied your own AI provider key (see "Bring Your Own AI Keys"), the overseas handling of that data is governed by your own agreement with that provider.
Cookies
We use cookies and other similar technologies to collect information about your visit to our website. You may disable cookies in your browser settings, but please note that some features of our website may not function properly without cookies.
Your Rights
You have the right to access the personal information we hold about you and to ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant, or misleading. To make a request, contact us using the details below. We will respond within a reasonable period — ordinarily within 30 days — and we will not charge you for making a request, though a reasonable charge may apply for giving access in some circumstances. If we refuse access or correction, we will give you written reasons and information about how to complain.
Marketing opt-out. You may opt out of receiving marketing communications from us at any time by using the unsubscribe link in any marketing email or by contacting us. We will action your request promptly. We do not use or disclose your personal information for direct marketing where you have asked us not to.
Updates to Privacy Policy
We may update this privacy policy from time to time. We will notify you of any changes by posting the new privacy policy on our website. You are advised to review this privacy policy periodically for any changes.
Complaints
If you believe we have breached the Australian Privacy Principles or otherwise mishandled your personal information, you can make a complaint by contacting us at support@folioready.com. Please include enough detail for us to investigate. We will acknowledge your complaint promptly and aim to resolve it within 30 days.
